Position Summary:

The Program Manager, Operations has primary responsibility for supporting the EVP, Operations in the pursuit of our overall strategic initiatives. This person will coordinate and manage the business's essential activities, making strategic plans to ensure all business functions are efficient and operating at peak performance. This person will also manage key projects and is the main organizer and planner of operations initiatives, attending to the minute details while staying attuned to business operations' macro vision.

As Program Manager, Operations, you will work with and report directly to the EVP, Operations, relaying messages and ideas from other senior leaders to improve operations' internal functions and processes. This person needs to be a creative and results-driven thinker, an excellent problem solver, and possess incredible interpersonal skills to effectively manage staff and act as the primary contact for all business operations communications.

Essential Responsibilities:

  • Serve as liaison between staff, executives, and Operations senior leadership, regarding department climate, employee well-being, project updates, proposals, and planning

  • Oversee daily operations through collaboration with senior management and department leaders, performing an array of tasks from managing calendars, generating correspondence, maintaining hard copy and electronic files, planning and coordinating annual corporate meetings, and scheduling facilities

  • Build and develop relationships with all employees for increased efficiency and effective responsiveness into existing operations, and help to define new operational strategies, working with the EVP, Operations on special projects

  • Serve as a subject matter expert, handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communications

  • Organize and coordinate staff functions and activities for operations

  • Coordinate strategic business initiatives and guide to completion

  • Ensures timely and effective completion of projects and initiatives for the EVP, Operations

  • Supervise daily operations and help oversee projects of high importance

  • Act as a principal consultant to the EVP, Operations

  • Manage operations calendar and ensure deadlines are met

  • Work with and/or lead cross-functional teams

  • Supports EVP, Operations in meetings by taking notes and assuming responsibility for completion of action items

  • Assist EVP, Operations with internal communication, meeting with HR leaders and attending to staff needs, ensuring any problems are resolved

  • Keep EVP, Operations abreast on department-related opportunities that require consideration

  • Attend EVP, Operations meetings and deliver progress reports to the department

  • Drafts letters, emails, reports, and other correspondence on behalf of the EVP, Operations

Preferred Experience:

  • 7-10 years' experience as a project manager or program manager with people leadership experience

  • Excellent oral and written communication skills

  • Experience in consulting and operations

  • Strong interpersonal skills and a knack for productive collaboration across varying departments

  • Detail-oriented and data-driven and able to organize, lead and direct large teams of people

  • Possess an encouraging, can-do attitude

  • Impeccable time management and multi-tasking skills

  • Business-minded and a strategic planner

  • Proven creative-thinker, problem-solver who can make clear-headed decisions under pressure

  • Ability to analyze and compile large sets of data and present effective reports

  • Highly experienced with project coordinating and management

  • Self-motivated and self-sufficient with strong business acumen

Education:

  • Bachelor's degree required; Master's degree preferred
