Zovio Workplace Services Coordinator I in San Diego, California

The Facilities/Operations Workplace Services Coordinator I position is a full-time, on-site employment opportunity. Under limited supervision, the WPSC will create an environment where guests and employees feel welcome, safe and comfortable and will manage operational aspects of our San Diego, CA office facilties.

Essential Responsibilities:

  • Use independent judgment and initiative to anticipate and address operational needs related to Facilities

  • Greet and register guests/visitors in the reception area and notify their respective hosts; provide the highest level of customer service in response to all guest and employee inquiries

  • Ensure the office remains secure by closely following guest and visitor procedures; escalate issues as necessary

  • Assist with room set-ups and tear downs as necessary

  • Coordinate and assist security administrator or designated individual with access control permissions Manage and complete assigned work tickets submitted through enterprise work order management system to ensure completion within established service level targets

  • Coordinate and assist in the management of various employee support programs, (i.e. parking and public transit pass program management) including all administrative aspects

  • Coordinate and assist in the creation and fulfillment of work requests and tasks to established service level targets associated with meeting and event management, including room set-up and tear down, catering, clean-up and document management

  • Coordinate and assist in the management of internally and externally facing events hosted by Zovio or an affiliated University

  • Assist in the collection and completion of all necessary documentation for internally and externally facing events to manage risk exposure and ensure lease compliance;

  • Coordinate and/or assume mangaement of mail, shipping and receiving as needed or directed by the business

  • Provide general administrative assistance to the team and wider business partners as required; participating and providing support in ad hoc admin and project support as needed

  • Monitor, track and order supplies and associated costs and track and receive deliveries; coordinate and assist in processing all Facilities-related purchases through the enterprise purchasing system

  • Coordinate and assist in activities associated with new hire experience including, employee badge printing and activation, name plate ordering, printing activation, and, if applicable, transportation pass ordering and building badge activation

  • Submit work order tickets to property management for landlord-related work activities, following up as necessary for quality control purposes

  • Perform all assignments in accordance with Zovio’s approved procedures; meet all of Zovio’s quality expectations in assigned tasks

  • Adhere to industry safety standards and requirements of Zovio at all times

  • Act as a successful team member by being receptive to feedback/coaching, follow standard operating procedures, display reliability and have a willingness to develop and consistently improve

Preferred Experience:

  • 1-2 years customer service experience

  • Proficient computer skills: Microsoft Word, Excel, PowerPoint, Outlook

  • Excellent interpersonal and communication skills (both verbal and written); proven ability to research, follow-up and resolve sensitive issues in a timely manner

  • Strong commitment to delivering high quality customer service to guests and colleagues; demonstrated ability to work cooperatively with others

  • Ability to use logic and reason to solve problems and challenges in a manner that creates the best possible solution

  • Ability to prioritize multiple simultaneous projects and tasks, ensuring deadlines and quality thresholds are met

  • Knowledge of principles and processes for providing exceptional customer service

  • Knowledge of enterprise purchasing policy and procurement systems

  • Knowledge of meeting and event planning and management

  • Knowledge of Enterprise work order and work flow management systems


  • Bachelor’s degree from an accredited institution is preferred

Education Requirements:

  • If a degree or education credit minimum is required for the position, all education must be conferred by a regionally accredited or approved nationally accredited institution. All candidates must provide proof of higher education (official transcripts) upon request.
